Harvest "Unlimited usage billing" vs "Flex": what your renewal email means
Updated October 2026 · Sources: customer reports on Hacker News and Trustpilot, BBC News, Harvest's pricing page
Many Harvest customers have received a renewal email that reads roughly like this one, which a customer posted publicly on Hacker News in August 2026:
"On your next renewal date … your account will be transitioned to a Harvest Enterprise plan with Unlimited usage billing. You will be automatically billed $2,199.50 for your new monthly plan. You can always downgrade to Flex usage billing, which would have an estimated price of $416.05 and would adapt to your monthly usage."
That customer had been paying about $100 a month for 13 years. Here's what the two options in that email mean.
Enterprise with Unlimited usage billing
This is the option you're moved to automatically if you do nothing. It's a fixed, higher monthly or annual price that covers your usage without metering it. In customer reports it's the larger of the two numbers, often by a wide margin:
- $100 → $2,199.50 a month (the Hacker News example above)
- $69 → $821.50 a month for an 8-person accountancy practice (Trustpilot, August 2026)
- $437.50 → $2,335.50 a month (Trustpilot, September 2026)
- $130 → $2,110 a month for a UK consultancy (BBC News)
Flex usage billing
Flex is the lower "estimated" number in the email. You pay a base seat price plus usage. Harvest's pricing page lists additional invoices, projects, clients and tasks as billed by usage, and customers have reported that usage can also include the amount you invoice through Harvest. The estimate is based on your past usage, so it's lower than Unlimited, but it isn't fixed: it rises when you add clients, start projects or send more invoices. One customer said their Flex quote was about half of the Unlimited price and still around 6× what they had paid before.
Which should you choose?
- If your usage is low and stable, Flex will usually cost less than Unlimited. Archive old projects, clients and tasks first, since they may count.
- If you're growing or invoice a lot, Flex can creep up month by month. Unlimited is predictable but expensive.
- If neither number works, export your data before the renewal date (Reports → Detailed time → All time → Export CSV) and move to a tool with a flat price. Some customers report being offered a discount only partway through cancelling, so read every screen of that flow.
Whatever you choose, note your renewal date. Customers report the notice arrives about 30 days ahead, and some found out only when the charge appeared. Our renewal checklist walks through the steps.
A third option: a flat price
Hourflat is timer, timesheet and invoicing at $6 per seat per month, with nothing metered: no per-client, per-project, per-task or per-invoice charges, and no percentage of what you bill. It's free during early access. The Harvest CSV import brings your clients, projects, people and history across in a couple of minutes, and entries Harvest marked as invoiced stay invoiced.
